Addressing envelopes is one of the few office chores that
has defied automation. The easiest and most cost effective
way to address envelopes is to purchase envelopes with windows.
Then print the letter or form and fold the paper so that
the address shows in the window.
Another method of addressing envelopes is to print the
mailing labels and then paste them on the envelope. Sticking
labels on the wrong envelope is a constant hazard. (you
may waste up all your inkjet cartridges before you know
you havent got the job completely done) Printing the labels
is difficult also. Labels have a tendency to peel off inside
dot-matrix and laser printers; then, you have to clean the
printer. Also, the printer may not work right after you
clean it.
When installing and removing the mailing labels from dot-matrix
printers, always pull the labels through the normal paper
path in the normal direction of operation. Do not try to
pull the extra labels out the back of the dot-matrix printer,
or they may peel off.
Mailing labels come in all sizes and shapes. They come
in sheets, rolls, or fan-folded. A page can have one, two,
three, or four labels across the paper. The sheets of labels
can have borders. These factors make it difficult for software
to print in the proper places. Different organizations may
want the labels sorted horizontally across the page or vertically
up and down the page. All these potential problems have
created special market programs that manage labels. Most
good label-printing software packages list the types of
labels they support for example, PostWare from Postalsoft,
Inc.
The best solution probably is to never put mailing labels
in the printer. Instead, print the labels in the proper
place on paper. Then, use the copier machine to transfer
the addresses to mailing labels. Feed the labels through
the copier machine rather than the PC printer. Most copier
machines are designed for copier labels. Use the paper version
printed by the PC as a master and make the actual labels
using a copier machine. Print updates to the master as the
list changes. This way, the printer does not have to print
duplicate mailing labels over and over, which reduces PC
wear and tear as well mailing label waste.
The final solution is to try to print the addresses directly
on the envelopes. Unfortunately, it is a lot of work typing
the address, sticking the envelope in the printer, and printing
the envelope. Many people find it easier and quicker to
use a typewriter. In fact, the only reason many typewriters
are still around is to address envelopes.
